Document Service Manager

Position summary
We are seeking an individual who has the drive and experience to take our document management operations to the next level. The successful candidate will be innovative, hands-on and have depth of experience in managing document services and possess project management skills.
The successful candidate will manage document services effectively, ensuring that legal documents/records are produced, stored, scanned, distributed and archived in the most effective way that is compliant with the firm’s policies moving towards a paperless office.
This role involves managing the document services team, which comprises approximately 20 people.
Experience of introducing a document management system is ESSENTIAL, preferably within the professional services sector. A management degree or diploma in management studies, or equivalent is required.

Main Duties
* Co-ordination of 20 operatives. * Liaison with clients regarding Contract issues, site visits, special permits, technical advice etc. * Ensuring that all paperwork is in order prior to the start of a project, and that the project is completed within timescale and to budget. * Planning of the workforce, materials, equipment per contract. * Liaise with the operatives regarding timesheets, discuss any site issues. * Ensure all relevant documentation i.e. completion certificates, inspection reports, digital photographs etc are collated. * Estimating for works as and when necessary. * Liaise with the Health & Safety Officer, reporting any incidents or accidents. * Produce a monthly report regarding Contracts activities, major purchases, staffing issues, disciplinary issues, training requirements etc.
